Confidential Information & Responsible AI Policy

A practical framework for protecting confidential information while enabling responsible collaboration with AI systems.

Confidential by context

Information does not need to be marked confidential when its nature or disclosure circumstances reasonably indicate confidentiality.

AI with safeguards

Confidential information should only be processed with AI systems that provide suitable security and contractual protections.

Shared responsibility

Recipients are expected to protect information, limit access, and report suspected loss or unauthorised disclosure promptly.

What we consider Confidential Information

Confidential Information is any non-public information that a reasonable person would understand to be commercially, technically, scientifically or strategically valuable.

  • source code, software and technical documentation
  • system architecture, APIs and deployment configurations
  • proprietary AI models, system prompts, prompt libraries, workflows and related intellectual property
  • product concepts, prototypes, demonstrations and proof-of-concepts
  • unpublished research, datasets and validation results
  • business plans, product roadmaps and pricing
  • financial information
  • customer, supplier and partner information
  • security documentation
  • trade secrets, inventions, methodologies and know-how

Our expectations

When confidential information is shared, NeuraXplore asks recipients to handle it with care and purpose.

  • Use confidential information only for the agreed purpose.
  • Protect it with appropriate care.
  • Share it only with authorised individuals who have a legitimate need to know.
  • Avoid unnecessary copying or distribution.
  • Promptly report any suspected loss, unauthorised disclosure or security incident.

Responsible use of Artificial Intelligence

AI has become an important productivity tool and, when used responsibly, can support innovation and collaboration. However, confidential information requires additional safeguards.

Confidential Information should only be processed using AI systems that provide security, confidentiality and contractual protections appropriate to the sensitivity of the information.

Unless expressly agreed otherwise in writing, Confidential Information should not be submitted to AI systems that may retain submitted data for model training, service improvement or other purposes beyond the requested processing.

Expected safeguards

  • contractual commitments regarding confidentiality
  • clear assurances that submitted data is not used to train foundation models
  • appropriate technical and organisational security measures
  • compliance with applicable laws and contractual obligations

Purpose

Innovation depends on trust.

At NeuraXplore, we regularly exchange ideas, research, software, prototypes and other information that is valuable to us and to the organisations we work with. This policy explains how we expect confidential information to be handled and how Artificial Intelligence (AI) may be used when working with that information.

Our goal is not to limit collaboration, but to create a shared understanding that allows ideas to be exchanged openly while protecting the interests of everyone involved.

This policy complements our Non-Disclosure Agreements (NDAs), Terms of Service and Privacy Policy and may be referenced in contracts or collaboration agreements.

Who this applies to

This policy applies to anyone who receives confidential information from NeuraXplore, including employees, contractors, consultants, suppliers, customers, research partners, educational institutions, healthcare organisations, investors and other collaboration partners.

Intellectual Property

Sharing Confidential Information does not transfer ownership.

Unless expressly agreed otherwise in writing, all intellectual property remains the property of its original owner. This includes software, research, AI systems, proprietary prompts, datasets, inventions, designs, documentation, methodologies, trade secrets and related know-how.

Reverse Engineering

Unless expressly authorised in writing, confidential software, prototypes, demonstrations or technical information may not be reverse engineered, decompiled, disassembled, analysed or reproduced for the purpose of recreating the underlying technology or methodology.

Security

Recipients are expected to apply security measures appropriate to the sensitivity of the information they receive.

Examples include secure storage, strong authentication, controlled access, secure file sharing and maintaining reasonably up-to-date systems and devices.

Meetings and demonstrations

Unless agreed otherwise, confidential meetings, demonstrations, workshops and presentations should not be recorded, photographed or distributed without prior permission from the disclosing party.

Return or deletion

At the conclusion of a project, or upon request, Confidential Information should be returned or securely deleted, including digital copies where reasonably practicable.

Written confirmation of deletion may be requested where appropriate.

Personal data

Where Confidential Information also contains personal data, it must be handled in accordance with applicable privacy legislation, NeuraXplore's Privacy Policy and any applicable Data Processing Agreement.

Changes to this policy

Technology and best practices continue to evolve. NeuraXplore may update this policy from time to time to reflect developments in security, responsible AI, legislation and our way of working.

The latest version will always be published on the NeuraXplore website.
